2.2. This Privacy Policy is subject to updates or modifications based on organizational requirements, system enhancements, or statutory legal and regulatory changes. Updated versions will be published on the Platform interface. Authorized users are encouraged to periodically review this Policy.
3. Third-Party Services & Device Permissions
3.1. The Platform operates on mobile hardware devices running Android, iOS, or customized operating systems, as well as web browsers. Please note that underlying mobile network operators, device manufacturers, and operating system providers may collect diagnostic data governed by their respective privacy policies. RailTel is not responsible for independent third-party data practices outside the Platform's codebase.
3.2. To perform mandatory spatial field surveys, asset cataloging, and route updates, the App requests permission to access device features including GPS/Location Services, Camera, and Storage/Media Files.
4. Personal & Organizational Information We Collect
4.1. Definition
Personal Information includes details used to authenticate, identify, and contact authorized personnel operating the GIS Platform, such as user name, designation, official email ID, mobile number, LDAP login credentials, regional deployment code, and user role.
4.2. Collection, Usage, Sharing, and Retention
4.2.1. Collection
- User account setup details (LDAP / System User ID, Regional Assignment, SPOC details).
- User activity logs during active survey tickets, asset creation, and map editing sessions.
4.2.2. Usage
- To authenticate and validate legitimate access to RailTel's network mapping infrastructure.
- To assign, track, and audit network survey tickets between managers and field engineers.
- To verify asset entries, route modifications, and equipment submissions against user activity records.
- To facilitate internal Operations Support Systems (OSS) and Operation & Maintenance (O&M) activities.
4.2.3. Sharing
- Internal Operations: Information is shared internally with authorized administrators, regional managers, and O&M divisions strictly for operational, audit, and quality management purposes.
- Statutory Compliance: We may disclose information if required to do so by law, court order, or formal regulatory directive from competent government or security agencies.
4.2.4. Retention
User account logs and audit trails are retained for the duration of the operational asset lifespan or as prescribed by administrative retention policies under applicable laws. Data is securely archived or erased upon cessation of authorized access.
5. Non-Personal & Technical Information
5.1. The Platform collects non-personal diagnostic data including device serial numbers, app version build, network signal type, operating system build, and application performance crash logs.
5.2. Technical and diagnostic data is used exclusively to debug system errors, improve software stability, optimize offline mapping capabilities, and maintain overall Platform security.
6. Location Services & Georeferencing Data
6.1. GPS & Location Data: The core functionality of the GIS Platform requires accurate, real-time spatial coordinates (latitude, longitude, and elevation). The App accesses location data via GPS, Wi-Fi, and cellular network signals while in active survey mode.
6.2. Purpose of Location Processing: Precise location tracking is utilized solely to:
- Plot physical telecom assets (Manholes, Poles, Joint Closures, OFC routes, POPs).
- Verify the physical presence of field teams during mandatory route patrolling and cut restoration surveys.
- Calculate spatial distances and generate exact cable route geometry on the interactive map interface.
7. Camera & Photographic Verification
7.1. Camera & File Access: The App requests camera and photo storage access to allow Field Engineers to capture and upload photographic evidence during Inside Plant (ISP) and Outside Plant (OSP) surveys.
7.2. Purpose: Photographic logs are required to verify physical equipment installations inside POP premises (e.g., Routers, Switches, Batteries, Chargers, DGs, Racks) and structural site conditions prior to ticket approval.
8. Data Security & Storage
8.1. RailTel implements robust organizational, technical, and physical security measures—including encrypted communications, LDAP authentication, role-based access control (RBAC), and secure hosting within RailTel's enterprise Data Center infrastructure—to safeguard data against unauthorized access, loss, or alteration.
9. Access, Correction, and Account Management
9.1. Authorized users are responsible for ensuring that their system profile details are accurate and up to date. Profile modifications or credential resets must be requested through the nominated Regional SPOC (Single Point of Contact) or corporate IT helpdesk.
9.2. Account deactivation or credential revocation will occur upon re-assignment, separation, or administrative directive, leading to immediate termination of Platform access.
